1. Scope
This policy covers how the Vanby buyer storefront (the "Platform") handles your personal data when you browse, register, place an order, submit an inquiry, or file an after-sales request.
Items are supplied by onboarded consignors. The Platform performs authentication review, matches the transaction, and handles after-sales requests, so some fulfilment details must pass between you and the consignor — see section 4.
2. What we collect
- Information you give us: registration email, recipient name, delivery address and phone number, order notes, and the phone number or email you leave when submitting an inquiry.
- Information generated by transactions: order records, payment status, shipping and logistics status, after-sales requests and their outcomes, and your correspondence with a watch advisor.
- Information generated by your activity: items you favourite, your browsing history, and aggregate view counts for each item. View counts are aggregated and not linked to your identity; they are used only to produce the "most viewed" ranking.
3. Why we use it
- To complete transactions: accepting orders, arranging authentication review and shipment, and reconciling settlement records.
- After-sales service: receiving and handling your request, and keeping a record of the process and outcome.
- Advisor service: when you submit an inquiry or leave contact details, arranging for a watch advisor to reach you.
- Account and notifications: showing order progress, changes to your favourites, and restock or price-drop alerts after you sign in.
4. Who we share it with
We do not sell your personal data. We share limited data only in these cases:
- The supplying consignor: only the delivery details needed to fulfil the order. Never your email address or browsing history.
- The watch advisor: only the contact details you chose to leave and the content of your inquiry.
- Payment and logistics providers: only what is necessary to collect payment and deliver the item.
- Legal requirements: where compelled by a competent judicial or regulatory authority.
5. Cookies and language preference
The Platform uses essential cookies to keep you signed in, to operate the order and after-sales flows, and to remember your language choice (Chinese / Traditional Chinese / English). They are not used for third-party advertising.
6. Retention
Order, payment, after-sales and authentication records are kept after the transaction closes, for traceability, after-sales handling and compliance. Account data is retained for the period required by law after you close your account.
7. Your rights
You may request access to, correction of, or deletion of the personal data we hold, and you may withdraw consent you previously gave. Contact us through the "Contact" page and we will act on your request. Where a transaction is still open or a statutory retention duty applies, we may act once that is resolved.
8. Security
We protect your data with access controls and least-privilege practices. No system can be guaranteed absolutely secure, so please keep your account password safe.
9. Minors
The Platform is intended for adults. We do not knowingly collect data from minors. If you are a minor, please use the Platform with a guardian, who should complete any transaction on your behalf.
10. Changes
We may update this policy as our business or the law changes. When we do, we revise the date at the top of this page; material changes affecting your rights will be highlighted more prominently.
